Administration & Accounts Executive

The Role

We are looking for a candidate who will be involved in the day-to-day administration of a Private Equity Management Corporation registered with and regulated by the Securities Commission of Malaysia. The candidate will also be the contact point with the client(s) and relevant stakeholder(s).


Key tasks and responsibilities

• Provide full secretarial support in preparation of correspondence, minutes of meetings, drafting of cover letters and all relevant documents, including collecting client information and updating the relevant databases via data entry, photocopy and filing of all paperwork in organized manner.
• Handle daily administrative tasks in office, such as management of the Team’s calendars, claims, petty cash disbursements and invoicing matters.
• Attending to all clients and/or visitors in office.
• Arrange and co-ordinate all mail delivery with despatch, courier, and other delivery service providers.
• Assist with answering incoming calls and replying to messages on Company’s general line and mobile phone and co-ordinating and filtering any incoming correspondences.
• Processing and maintaining employee data and assisting in hiring process.
• Prepare and compute salary, EPF, SOSCO, EA FORM etc.
• Handle the opening and closing of accounts (for example current account, virtual accounts investment account, fixed income, custody account, trading account etc.)
• Monitor placement of funds for client’s accounts.
• Supporting Project Management Team in filing of projects, recording and file maintenance.
• Bookkeeping and management accounting.
• Ensuring the periodic accounts are updated by the Finance team.
• Keep track of all the business’ financial transactions.
• Maintain accurate financial records.
• Keep the accounting filing system in order.
• Oversee the business’ inventory and cash flow.
• Manage the annual budget and petty cash fund.
• Balance the financial books by reconciling them with bank statements.
• Generate financial reports with analysis of the financial statements.
• Provide the information accountants and auditors need for their reports and audit.
• Follow the standard accounting procedures and policies.
• Any others relevant duties as assigned from time to time by superior and management


Key to Your Success in This Role Will Be

• Possess at least a Diploma in Business Administration or Accounting 
• Proficient in English and Bahasa Malaysia, both written and spoken
• Proficient in all Microsoft Office Tools
• Minimum three (3) years relevant experience in administration work.
• Experience in HR and Accounts Management will be an added advantage
• Team player with attention to details.
• Good communication and strong interpersonal skills.
• Meticulous and highly disciplined in meeting deadlines. 
• Able to work independently and under pressure.
• Good time management and organizational skills.
• Self-motivated and has a pleasant personality.
• Knowledgeable in bookkeeping and general accounting principles.
• Familiar with HR function.
• Excellent in data entry and record keeping.
